- EP Call to order
- EP Approval of last month's minutes – Minutes accepted.
- DR Financial statement
- EP requested new format for easier reading of spreadsheet.
- Report for ASBF and other treasury reports converted to Excel for analysis purposes.
- DR to convert from Quicken to Excel.
- Total Liabilities and Equity balance for 12/31/09: $14,573.76

- Mid Winter Festival 2010
- Bands confirmed. Workshops nearly confirmed.
- DR Discussed a back-up plan in the event that Manuel "Cowboy" Donley is not
able to play (wife is in the hospital). A "jam session" was decided on to replace
if necessary on the night of the festival.
- HR KEYE TV, Ch. 42 is willing to give us air-time the week of the festival. A
different act each day to promote the festival on the "We Are Austin" show that
airs live from 4-5 pm. HR is coordinating acts for this.
- EP To cost out food to buy at Costco for kitchen sales. Gluten Free selections to not
be advertised as such. Gluten-free plates will be available (Mediterranean and
Tex-Mex plates). Fewer sweets will be purchased. City of Austin will not allow
bottled water to be sold (new law). We can't sell, but can give it away in the green
room. No City of Austin permit needed as we only assemble food to be sold.
No cooking done at the festival.
- AW Can use some volunteers to help set up stage.
- TW will rent chairs and tables. Use white tables for lobby. Easier to clean
in between folks eating there.
- AW Asked if we should call John Hunt to set up video monitor for the lobby.
Agreed that it would be missed if not there. AW will call.
- CF Volunteered to call John Fine to inquire about parking situation in the
area for day of festival. EP will contact City of Austin parking garage to see
if it is available for free parking.
- EP Discussed laminating Mid-Winter/ASBF posters of the past to put on display.
- HR Will contact Brian Rise to discuss silk-screening possibilities for future events.
- DR will do merchandising and silent auction. Help needed with silent auction.
- EP mentioned volunteers can help with silent auction coordination.
- TW will be doing signs on cardboard. SI will do signs for green rooms and workshops.
- EP RE: Merchandise. Request the material from musicians BEFORE the event and
allow us to keep till after the event. This is preferred, but not compulsory.
- CF Workshop leaders + one guest for free entrance. This will not be advertised.
- EP Jerry Hagins to do program? TW will confirm.
- EP Who is willing to serve on the board in 2010 in their current position?

EP Current AFTM bylaws reflect a smaller board than we have. Agreed last
year up to 12 members. At large members are "official" members. Mid-March
elections in 2010, mid-April new board takes effect. The
board voted to keep the current size of 10 and up to 12 members.
TW Will need to publicize the change of bylaws in next newsletter and make the change.
- Upcoming Events
- CF Next open mic at Ruta Maya is February 27, 2010.
EP and TW said that they plan to be there.
- TW Jan 30 AFTM showcase line up at Central Market (north) is:

1001 Nights
Rattletree Marimba Trio
Each band will play for ONE HOUR– Sound plot needed for CM soundman.
- TW Stairwell Sisters at Ruta Maya on March 26, 2010
- Another Central Market (North) gig possibility April 10 CM wants to
have Ruby Jane as the headliner and will pay her $600. AFTM to provide
2 other groups, CM will kick in $100 each band Do we want to do this?
Board decided YES, we want to do this.

Correction on December 2009 minutes - Dance in the Park (Zilker) on 4th
Sunday in March 2010. This is booked by Dale Rempert and is NOT an
AFTM event.
